Hospital Price Transparency Software

Vitalware’s Hospital Price Transparency solution (Hospital Price Index) offers several key benefits that can greatly impact healthcare institutions and the patients they serve. Here are some of the key advantages:

  • Ensures Regulatory Compliance: Vitalware’s solution helps hospitals comply with Price Transparency regulations, avoiding penalties and potential legal issues.
  • Empowers Patients: Vitalware’s solution provides clear information about the cost of medical procedures, tests, and treatments. This empowers patients to make informed decisions about their healthcare, enhancing their abilities to budget, compare prices and choose the most cost-effective option.

The Challenge

CMS Price Transparency Regulations Increase Compliance Risk

Health systems that have acquired ambulatory care practices—and independent ambulatory practices alike—face tremendous financial pressures and challenges to financial sustainability. If you’re an ambulatory care leader, you’re looking to improve the efficiency of the services you provide and find cost savings without negatively impacting patient outcomes, the community, or the integrity of the organization. Yet it can be difficult to access data that brings actionable insights to inform decisions to improve patient access, panel management, provider productivity, referral management, or quality scores.

Our Approach

Technology-Enabled Compliance with Defensible Pricing Strategy

Vitalware's Hospital Price Index (HPI) helps health systems publish accurate, compliant pricing data and maintain compliance as requirements continue to evolve. Key advantages include:

  • Regulatory compliance, maintained over time. HPI is built to the current CMS standard, supporting both MRF and consumer-friendly shoppable services requirements, including the 2026 data elements: median and percentile allowed amounts, claim counts, organizational NPI encoding, and the updated CEO attestation format. When CMS requirements change, HPI evolves with them.
  • Patient-facing price transparency that's actually usable. HPI surfaces clear pricing for common procedures and services in a format patients can act on. They can compare costs, anticipate out-of-pocket exposure, and make decisions before the day of care.
  • A pricing strategy you can defend. Publishing prices is one thing. Being able to explain them is another. HPI helps organizations develop and communicate the reasoning behind their charges, so transparency becomes an asset rather than a liability.

Benefits

Regulatory Protection and Patient-Friendly Price Visibility

  • Proven at scale. As of January 2026, the HPI team has built more than1,500 MRFs since the CMS requirement took effect. That depth of experience means fewer surprises during implementation and faster turnaround when requirements change.
  • MRF production that takes hours, not days. The HPI Staging tool creates and publishes MRFs directly, reducing file production time from roughly 8 hours per facility to between 20 minutes and 1 hour. CDM files are loaded and defined in the same tool, keeping the processcentralized.
  • Built-in 2026 compliance. HPI calculates the required median, 10th percentile, and 90th percentile allowed amounts using ERA/835 claims data. Payers and plans are pulled from claims and matched against client-provided contracts using AI for initial matching, followed by a manual review step before final percentile calculations are run. The updated attestation language, CEO or designee contact information, and Type 2 NPI encoding are all included in the output.
  • Integrated CMS validator. A validator built into the Staging tool checks MRFsagainst the CMS validation standard before publication, so compliance gaps are caught internally rather than by an auditor.
  • Shoppable services, with expert guidance. The shoppable services display is available as an add-on to the MRF. HPI specialists help hospitals identify their shoppable services using actual volume data, and the consumer-facing search interface lets patients filter by service, payer, and plan to view gross charges, payer-allowed amounts, and cash discount prices.
  • Fits naturally into your existing workflow. For VitalCDM clients, HPI connects directly to the chargemaster data already in the system. Both products share the same SFTP infrastructure, which means less setup and no duplicate data management.
  • A required.txt file, included for every client. All clients receive a properly formatted .txt file containing the required data elements for CMS compliance, ready to attach to the root of their website.
